Reminders and payments

Fees and deadlines, without chasing anyone

Every day TeamPilot goes through where every member stands, decides who needs a reminder and sends it. The office keeps the overview: who is missing, for how long and who is worth a call.

What you can do

A check that never skips a day

The daily check

Every day TeamPilot goes through fees, documents and renewals for everyone: nothing slips through because nobody remembered.

It knows who to talk to

It works out who should get the reminder — the person or their family — and never discusses money with a child.

It picks the moment

A first reminder while there is still time, then follow-ups. Never the same thing twice, never a burst on day one.

It flags who to keep an eye on

Those drifting from their usual habits and those chased with no result surface on their own, before they become a problem.

The follow-up already written

When a personal word is needed, the message is ready with name, amount and due date: read it over and send it.

Families see their own fees

What has been paid, what is left and the receipts. The same questions to the office fade away on their own.

Deadlines do not wait for someone to remember them

In a club with hundreds of members, deadlines never arrive all at once: they arrive one at a time, every day, and each one concerns a different family. The certificate expiring in November, the second instalment of someone who asked to spread the payments, the renewal of someone who joined mid-season. No spreadsheet notices them on its own, and no club office can check all of them every morning.

So things come to light late: a player without a valid certificate on match day, a fee untouched for three months that nobody followed up, a family convinced they had already paid. And when somebody finally notices, the reminder arrives all at once and sounds like a telling-off.

What changes with TeamPilot

  • The software does the checking, every day, for everyone: the office no longer has to remember to look.
  • The reminder reaches the right person while it can still make a difference, not after the fact.
  • Nobody is reminded twice about the same thing, and there are no bursts of backdated messages.
  • The situation is always readable: who is missing, for how long, how much it really weighs on the season.
  • Families have their own page and stop asking the office what they can see for themselves.
  • Those who need attention surface early, while a phone call is still enough.

Fees come from the club’s members and registrations, document deadlines follow the players of the youth academy and the squads of team management. How this data is handled is set out plainly on our reminders and payments page. To see it on your own club’s numbers, book a demo.

Frequently asked questions

Questions about fees and deadlines

What club offices and officials ask us most often.

Yes, every day, with nobody having to remember and no lists to tick off by hand. And they stop on their own once things are sorted: a renewed certificate or a paid fee produces no further reminders. That is the difference between software that waits to be asked and software that notices things and brings them to you.

Whoever actually has to deal with it. If the member is an adult, they do; if they are a minor, their registered parents or guardians — and fees and payments are never discussed with a child, at any age. If there is no contact detail for a deadline, the reminder stays with the club office, which is who can sort it out. Every reminder leaves a trace: who was contacted, when and through which channel, so nobody chases someone who was already reminded yesterday.

Yes. The club decides when the first reminder goes out and how many follow-ups to send after the due date, and the rule applies across all teams at once. You also decide what shows up inside the software, what goes out by email and to whom: a club with many age groups does not treat a medical certificate and an instalment the same way, and should not have to settle for settings designed for a single-team club.

No, and that is not a gap: TeamPilot flags, the decision stays with the people running the club. No child is stopped at the touchline over a late instalment, and a payment postponed by agreement with a family should not turn into an automatic chase. What you agreed stays an agreement, not a delay.

Only what concerns them: their own children's fees, what is still to pay and the receipts, from their phone and at any time. Never another family's position. The full payments overview stays with the people handling administration, and coaches never see it.
